Managing Files

With File Rules, you can manage any file in your PC: MS Office files, WebPages, and many others by simply assigning keywords. Just by typing the desired keywords, you will localize the file through File Rules Explorer, with no need of remembering the path in which it was stored.

Add Keywords to Files:

In order to apply File Rules, you need to select keywords and relate them to the document, whether you are inside or outside it. Afterwards, you can use the keywords in the File Rules Explorer to locate files related to them.

From Word, Excel, Outlook, or Internet Explorer, with the file or webpage open, you can enter the relevant keywords that apply to the document using the File Rules toolbar.

When clicking on the Relate Keyword icon , you open the Keywords Relations window. From this window, you can add existent keywords or create new ones and associate them to the open file.

If you wish to add new keywords to a file without previously opening it, you just need to select it and click on the right button of your mouse. It will display a menu with the option to add new keywords. By clicking on it, you will access the Keywords Relations window and then follow the procedure explained above.

Store Themes:

File Rules allows you to store and associate complete phrases or even paragraphs of a document to it, in order to be used as criteria for future searches.

Using the buttons in the File Rules toolbar, you can select a text and store it on any theme you choose.

Categorize Words:

With File Rules, you can also create categories to organize keywords and themes so as to make it easier to find them afterwards. The same keyword or theme can be repeated in different categories, for instance:

Keyword ‘Rules’ may be used in association to different Word documents and webpages containing differe rules (for example, football, behavior, clothing, etc.) and, at the same time, it can be inside the categories ‘Sports’, ‘Work’, and ‘Clothing’.

Edit Relations:

Using the Relations icon in the File Rules toolbar, you can view, edit, and delete the relations of the document: keywords and assigned themes.

Attach Documents:

You can also associate documents that are interrelated by clicking on the Relate File icon. Consequently, when you look for a file, you can also visualize the related files so as to retrieve all the information you may need.
